How Role-Based SAP Training Standardised Vynova’s Maintenance Process

Vynova, a leading European manufacturer of chlor-alkali products and PVC resins, relies on efficient maintenance operations to ensure smooth and reliable production. At its Belgium site in Tessenderlo, Vynova uses SAP Enterprise Asset Management to manage maintenance activities. However, after more than two decades of use, each department had developed its own approach to working in SAP, resulting in fragmented processes and inconsistent usage. To establish a uniform end-to-end maintenance approach and equip users with the right SAP skills, Vynova partnered with Emixa.

Understanding the Challenge

Before launching the project, Emixa conducted a quick scan involving interviews with employees from various departments. These sessions uncovered valuable insights into the existing maintenance workflows, user behaviour, and SAP-related challenges.

It became clear that while many users had strong SAP knowledge, each team had adopted different practices over time. As a result, defining and implementing a uniform, standardised maintenance process emerged as the first key challenge. Emixa facilitated workshops with stakeholders across departments to align expectations and define a consistent way of working.

In addition, many maintenance tasks were still carried out reactively. There was a strong desire to shift towards a proactive, planned approach, with better visibility into progress across departments.

Critical Success Factors

Close collaboration between Emixa consultants and Vynova’s employees was critical. Through interviews, workshops, and regular feedback sessions, challenges were openly discussed, and quick adjustments were made to maintain momentum.

A dedicated working group, comprising both Emixa and Vynova representatives, played a central role in shaping the training materials. This team ensured alignment, facilitated feedback, and iteratively improved the training based on participant input.

Impact & Outcomes

In addition to establishing a unified maintenance process, several quick wins, such as small system optimisations and revised status schemes, were implemented to boost SAP efficiency and increase transparency across departments.

To ensure consistent adoption of the new way of working, a role-based training programme was rolled out. All participants began with a general session introducing the end-to-end maintenance process and clarifying roles and responsibilities. Follow-up sessions then focused on specific SAP tasks relevant to each user’s role, ensuring the training remained practical and efficient.

Led by experienced Emixa consultants, the training was interactive and hands-on, using familiar scenarios from Vynova’s day-to-day operations in a test environment. This enabled users to build confidence in applying their SAP knowledge directly. More than 70 employees were successfully trained, with participants noting clear value in terms of both practical skills and overall process understanding.
